Creating and Managing Job Roles

Job roles describe the positions in your organization, including the soft skills and values each role needs. MayaMaya uses job roles to match people for internal mobility and hiring, and you can share public roles with partner organizations.

Open Job Roles

Select the menu icon (three lines), then Settings > Job Roles. You can also select Create Job Roles under Quick Actions on the dashboard.

Create a job role

Select Create New Job Role, then choose how you want to create it and select Next:

  • Create a new role – define all requirements yourself.
  • Create based on employees – select an employee from your organization and use their attributes as a starting point.
  • AI suggested job roles – choose from roles MayaMaya suggests based on current market trends and skill requirements.

Choosing how to create a job role

Create a new role or create based on employees

  1. If you chose Create based on employees, select the employee to start from.
  2. On Define Job Role Requirements, set the level each attribute needs, from 0 to 10 (the default is 5). The attributes are:
    1. Soft skills – Adaptability, Attention to Detail, Communication, Creativity, Interpersonal Skills, Leadership, Problem-Solving, Teamwork, Time Management, and Work Ethic.
    2. Values – Professional Value, Purpose Value, Spirit Value, and Reward Value.
  3. Select Next.
  4. On Job Role Details, enter:
    1. Function/Department (required)
    2. Role Availability – Open if the role is available for hiring, matching, and planning; otherwise Closed.
    3. Role Type – Private keeps the role within your organization; Public lets you share it with selected partner organizations.
    4. Level (required) – from Entry-Level to Executive or Senior Management.
    5. Job Role Name and Short Description (required, up to 120 characters), and an optional Long Description.
  5. Select Create Job Role.

Add AI suggested job roles

  1. Select one or more roles from the list. The number selected appears at the top.
  2. Select Next: map departments and choose a department for each role.
  3. Finish creating the roles.

Manage your job roles

The Job Roles list shows each role's department, level, Role Availability (Available or Closed), Role Type (Public or Private), and creation date. Select View full description to read a role's description.

Edit a job role

  1. Select the edit icon on the role's row.
  2. Update any of the following:
    1. Role Availability and Role Type. For a Public role, use Select Partners to choose which partner organizations can see it.
    2. Job Role Name, Short Description, Function/Department, and Level.
    3. Long Description. Select Generate Description to have MayaMaya draft one.
    4. Education Requirements and Skills.
  3. Select Update Job Role.

Delete or share job roles

  • To delete one role, select the delete icon on its row.
  • To act on several roles, select them (or Select all), then choose Delete or Share with Partner from Select bulk action.
